Accounts Payable Clerk

Location: Salinas, CA

Pay Range: $18.00/hour +DOE


GENERAL PURPOSE OF THE JOB: 

This position is responsible for processing vendor invoices, maintaining accurate financial records, and supporting timely payments across multiple entities. The ideal candidate will demonstrate strong attention to detail, accuracy, and the ability to meet strict deadlines in a fast-paced environment.

KEY RESPONSIBILITIES:

Accounts Payable

  • Review invoices for proper documentation and approval prior to payment

  • Code invoices to appropriate cost centers and G/L accounts and enter into the accounting system

  • Prepare and process weekly check runs for multiple entities

  • Mail weekly checks and file unpaid invoices after verification

  • Reconcile monthly vendor statements and resolve invoice discrepancies

  • Research and resolve invoice discrepancies and payment issues

  • Assist with month-end closing activities

  • Maintain accurate and organized files, ensuring proper imaging of invoices and supporting documentation

  • Support year-end filing and documentation requirements

Cash Application & Accounts Receivable Support

  • Process daily incoming mail and prepare checks for posting

  • Receive and apply customer payments across multiple entities (cash, check, online payments, etc.)

  • Prepare and reconcile daily deposits for multiple entities

  • Scan checks using bank scanner and resolve discrepancies prior to submission

  • Reconcile daily cash receipts to bank deposits accurately and timely

  • Run short pay reports and communicate findings to File Resolution Services

  • Maintain electronic records of all deposits for banking and audit purposes

  • Adhere to strict deadlines for daily posting of all cash receipts

General Accounting Support

  • Perform accounting and clerical functions to support the accounting department

  • Participate in special projects and other duties as assigned

EDUCATION AND/ OR EXPERIENCE:

  • High school diploma or equivalent required; Associate’s degree in Accounting or related field preferred

  • 1–3 years of accounts payable or accounting experience preferred

  • Knowledge of general accounting principles

  • Proficient in Microsoft Word and Excel

  • Knowledge of Famous software preferred

  • Bilingual Spanish/English preferred

REQUIRED SKILLS AND QUALIFICATIONS:

  • Strong judgment and ability to assess risk and escalate appropriately.

  • Comfort asking direct questions and managing difficult conversations.

  • Ability to work independently in the field while maintaining alignment with HR leadership.

  • Highly organized, detail-oriented, and able to manage multiple active cases.

  • Ability to work onsite in a fast-paced, operational environment.
