Position Title: Customer Service Coordinator

Reports To: Scheduling Manager, True Leaf Farms

Location: True Leaf Farms, San Juan Bautista, CA

Position Summary: 

This position is located at our salad processing plant, True Leaf Farms. With efficiency and customer service as a priority, the Customer Service Coordinator acts as the liaison between sales, scheduling, quality, production and shipping. This position acts as first point of contact for the customer and resolves any problems or concerns with plant scheduling, production, raw product quality harvesting, receiving, storing, moving and shipping for Church Brothers Farms & True Leaf Farms. Projects a positive and professional image at all times, assisting customers promptly and conducting all business in a friendly, courteous and knowledgeable manner. Performs administrative tasks appropriate to the activities of the unit, related to communicating reports and daily status of orders.

Tasks and Duties: 

  • Respond to customer enquiries facilitated by sales, providing turnaround as soon as possible with response the same day

  • Develop and maintain a positive client relationship by providing routine follow-up customer service calls

  • Rectify problems, such as damages, shortages and non-conformance to quality specifications

  • Document customer order information into the Famous Warehouse Management System (WMS)

  • Document and escalate any customer service issues, scheduling concerns, same day order issues and/or shipping/receiving errors

  • Participate in meetings to improve productivity, resolve customer service issues and manage workload of team

  • Develop constructive and cooperative working relationships with those on your team, as well as cross functionally

  • Interface with customers and sales representatives to handle both pre-sales and post-sales service functions.

  • Provide outstanding customer service to improve customer satisfaction and relationship.

  • Handle and resolve customer complaints/inquiries via mail or phone in a timely and accurate manner.

  • Monitor product order shipment to ensure on-time delivery to customers.

  • Alert customers on shipping and flow issues in advance.

  • Develop knowledge about each customer’s business requirements.

  • Maintain competent understanding of company’s products, their functions and alternatives.

  • Coordinate, analyze and improve customer service functions to meet company goals.

  • Maintain database of customer sales orders, communicate service & order reports on daily basis.

Knowledge and Skills

  • Preferred:

  • College Degree

  • Two to three years experience in inventory and/or logistics

  • Minimum:

  • High school diploma

  • Two years of experience in planning, inventory and warehouse logistics 

Other Qualifications:

  • Must be able to travel and relocate to our various processing geographical areas.

  • Bilingual (English/Spanish) preferred
